What are they and are they legit?
I found a page on the American Bar Association called Digital Signature Guidelines
Tutorial. You’ll see a bunch of blue numbers throughout the page referring to footnotes, which I’ll refer to for location on the page.

[notes 12, 13, 14] A signature must have the following attributes:

• Signer authentication
• Document authentication

[note 19] How Digital Signature Technology Works
“Digital signatures use what is known as ‘public key cryptography’”. There are two used:

1. for creating a digital signature, typically a private key that is only known by the signer
2. for verifying a digital signature, typically a public key that is available to anyone who needs to verify the signature

As far as how widely accepted they are, [note 29] “Digital signatures have been accepted in several national and international standards developed in cooperation with and accepted by many corporations, banks, and government agencies.”

The next questions are:
1. How does it work? Do the signers have to download anything? Do they literally sign anything?
2. How much is a binding service?
3. Which service providers are the best to go with?

From the archives… a tip from The Simplifier #61 (April 2008). The image was added today just for fun.

Just as your cell phone has an impact on your daily life, so do the computer programs you use. Choosing a new software program out of a sea of possibilities can be daunting.

You start learning about a type of program you want and a floodgate opens to a rush of features available—some are essential, some are irrelevant, some are just plain cool… It can get confusing quickly! It’s worth spending the time selecting the right one because you want it to keep the beasts at bay (see article: Where the Wild Things Aren’t: Taming the Invoicing Beast) and flow smoothly with your daily activities.

One way to find the right program for you is to ask colleagues what they use as well as what they like and dislike about it. If you look online, you may find that someone has already done a useful comparison (for example this great review of online invoicing services).

Another way is to make your own comparison chart with the features that are important to you and then search for possibilities online. (I also used this method recently when researching my latest cell phone.)

For either method, making a list of your criteria and indicating which features are required vs. which would be nice to have will ensure that you get a program that works for your situation.

1. Determine your criteria.
Below is a list of possible criteria for a time-tracking program search. Not all would apply to you, and you may think of other features.

• I want a timer built in to the program that is easy to use.
• I can make my own entries.
• I can create invoices.
• I can design my own invoice.
• I can bill expenses.
• I want a desktop program.
• I like the interface of the program
• Reasonable cost

2. Make a chart with your criteria to compare programs. The format of your chart can be as fancy as a spreadsheet or as spontaneous as handwritten on a paper towel while sitting at a cafe.

The clarification of required (i.e., deal killers) vs. desired features really help you narrow your search in order to make an informed decision quickly.

Why all the hoopla about a task manager? Because it’s your time we’re talking about. You ought to be spending your valuable time getting done what needs to be done, not piddling it away perusing your task list repeatedly and hen-pecking out items.

When you get methodical and use a system that supports your intention of taking care of business, you feel good about making progress on your goals. You deal with the stuff that needs taking care of, and are able to apply your brain cells toward your other goals freely.

To get digital or not get digital, that is the question…

Do any of these sound familiar?

• Maybe you’ve tried to track your tasks digitally and just didn’t stick with it.
• Maybe you’ve always done paper so you are sticking with paper.
• Maybe you want to go digital but just haven’t taken the time to select a program and get it set up.

While for most systems I’m all for customization and minimal change to keep you moving forward, consider yourself warned that I’m taking a stand on the digital task manager as the preferred choice over a paper list or even a simple digital list.

Here’s why: the task managers available now that were designed with GTD (Getting Things Done) in mind actually make it easier to not only get things done, but to make consistent progress on your “Important / Not-Urgent” projects.

[NOTE: Important / Not-Urgent is a Stephen Covey distinction. These are typically the projects that are closest to your heart and the first to get dropped when urgency hits. And the truth is, if you are using a reactionary-based task list, you are always in urgency mode. I'm just sayin'. ]

Believe me, my intention isn’t to call you out and say, “Your system s*$ks.” Really, it’s not.

My intention is, as always, to get you to take an honest look at what’s not working in your work flow, set-up something that does work well, and get on with creating the sweet life you were born to live.

Back to my soap box. Why the digital task manager?

1. you will put a stop once and for all to the re-writing-and-repeatedly-flipping-through-past-lists game
2. it’s easy to review projects because they are right there (critical for your weekly planning & review session)
3. assign contexts** (see breakout below)
4. you can assign start dates so you can park it and forget about it until that time
5. most have a recurring tasks function

All of these little cool functionalities, used well and wisely, add up to nothing short of a seemingly magical boost to the management of your work flow.

Contexts
**The concept of “contexts” was one of the tougher ones for me to grasp–and get the importance of–when I was learning David Allen’s GTD system. What helped me get it was the “best practices” suggestion I learned about using OmniFocus which was:

• enter your tasks via the “Projects mode” of the program, but
• when you get to work, work from the “Contexts mode”

In a nutshell, Contexts refer to what tool or location is relevant to the task?
Storing up conversation topics to discuss with Joe, assign context “1:1 Joe”
If it’s a phone call, assign context “Calls”

As you can imagine, this would group, for ex. all or your calls together. This is beneficial when:

• you are in the groove to make calls, there they are all lumped together.
• you are out somewhere with an unexpected 30 minutes on your hands, you can plow through a bunch of calls (assuming you sync your task manager with your phone).
• you don’t have access to a phone for whatever reason, you aren’t looking through your unsorted list searching for a task that can be done given your phone-less situation.

Now the bad news. There isn’t a single solution to point you towards, though I have a few suggestions.
Factors that make a one-program answer impossible:

• Mac vs. PC & Operating system
• Email program
• Sync-ability with smartphone/iPhone
• Price

PC

Especially if your work is email-centric, you use a PC, and use Outlook as your email client, then I’d go with the David Allen Company’s own product:
Getting Things Done® Outlook® Add-In.

PC requirements: Windows XP, Vista or 7
Email program: Outlook 2002, 2003, 2007
Sync-ability with smartphone/iPhone: I see no indication on the site that this is possible.
Price: $74.95
Additional benefits: very helpful webinars to set up your plug-in for best practices

While a good percentage of the corporate world still seems to be PC and Outlook-based, most of the folks I work with are independent professionals, and very few of my clients are PC/Outlook users.

So if you are on a PC and don’t use Outlook then there is EasyTask Manager by OrionBelt.com , a standalone program (Mac version below).

Note: of the two Mac programs above, Things is more freeform in the entry (based on tags rather than drop down menus). This works for some and not for others. The GTD system works when you have the discipline to enter associated project, context, and length of time estimated for a task.

One thing I’ve read on user forums comparing experiences is that some people prefer a more structured entry system (like EasyTask’s) because they know themselves well enough to know they might not maintain the discipline to enter all that info.

There are a ton of programs out there–the last thing I want you to do is get lost in the sea of possibilities. The options above are solid potentials. As a disclaimer, I’ve used Things and EasyTask; I haven’t used the GTD Outlook plug-in. I did see a demo of it and it looked great. Considering where it’s coming from, I have to trust that it’s an excellent choice.

The next step is up to you. If you’ve been wavering, decide and do. If you’ve slipped, get back on board.

You. In the driver’s seat. Making waves. Why have it any other way?

If you’ve never crafted a 30-second elevator speech you may not appreciate the challenging process the self-employed go through to create one.

[If "elevator speech" is a new term for you, just imagine you found yourself in an elevator with a rich and famous person who is also your ideal client. You have 30 seconds to go from complete stranger to someone whose business they want to learn more about.]

Coming up with this short intro can be something akin to pushing a large ball of burning tar up a big hill, penalty of death. And you think I’m exaggerating. Well maybe I am just a little.

As a business owner, you want it to capture the essence of your project, be descriptive enough to be tangible for the listener, and be intriguing enough that your listener asks for more info.

Which is all leading up to the ah-ha! moment yesterday during a co-coaching call with my dear friend Kalia. After I told her the title of the upcoming workshop, she paused for a moment and then got all giddy on me. “Shawn! That’s it!”

Lo and behold, we worked it into an elevator speech.

Here we go: “My business has recently launched a project called The Natural Professional. Our mission is to support and inspire people committed to working with purpose, passion and peace.” Not even 30 seconds!

This mini-description can also serve as a qualifier and descriptor of your target audience. For example, when asked to speak, I can respond, “Are the people in your group committed to purpose, passion and peace?” If those are characteristics that they value, then it’s likely a good fit.

So what was natural (or professional) about my stressing over not having this dialed in up until now? Nothing!

Patience, people, patience. Let the help arrive in unexpected ways. Let inspiration hit when moved.

Our job as Natural Professionals is to allow the space for these to light upon us–as butterflies landing on a flower bathed in warm spring sunshine.

Elevators

What do you get when you put four smart, interesting people getting together to help each along the wily, treacherous path of growing a business? The magic of a Mastermind Group!

In August of 2006, I posted an article called Why your business needs a peer-led MasterMind on Mastermind Groups by Mark Silver.

He did a great job of explaining the basics of what one is, how it works, and how it compares to some the other support systems available.

Even before that article popped up, I’d been thinking about how great it would be to have a Mastermind Group. Well it only took a short three years for that to happen.

Yup, it swam around the idea phase for a good two years, broke the surface several time in that last year trying to get beached on my Project List, and then in November of 2009, it gathered up the momentum to shoot out of the water like a dolphin doing flips in the air and yelled, “The time is Nowwww!!!” Splash!

That moment fortuitously happened at an Open Conference for Leadership right at the time that the participants were being asked to volunteer subjects.The next thing I know, I’m offering a session on Mastermind Groups–zero planning or pre-meditation.

While most people didn’t know what it was, the name Spoke to them. A good 35 people showed up for that session.

I described my understanding of what a MM group was, called on some people who had been in several groups to share their experience, and then suggested a structure:

• 4 people
• commit to 6 months
• meet once a week
• meet for an hour
• divide the time up between people there
• each person gets to lead their time
• use a timer
• finish and end on time
• be supportive and honest
• and as Mark calls it, compassionate accountability

Four groups of four people initiated right then! Mark’s group meets over the phone. We meet in person.

A success story
One woman in my group is rebuilding her jewelry business. She resisted calling up a new account because she was afraid that nothing would have sold. (The mind is sooo creative in coming up with horror stories when it comes to our personal work!) She finally made the call only to find out that most of the pieces had sold and the buyer bought ten more pieces.

After reporting back on this success, another woman in our group, a landscape architect, immediately identified a phone call she’d been procrastinating due to fear. She made it her homework that week to make the call.

At our next meeting, she reported back that the jeweler’s courage helped her take the bull by the horns and she had made her dreaded phone call (which also had great results).

There are books on the subject to help people jump in and kick-start their group. My experience supports the idea of just getting it going. The critical ingredients:
Commitment and Respect.

Whether concrete ideas of how to proceed in a confusing area, determining what the next step is for marketing might be, how to handle a tough client, or guidance on starting a blog–it’s likely that someone in the group has experience where another lacks it.

The progress that people can make based on this weekly support structure can be akin to magic–it’s that powerful.

Such an empowering way to let it be easy!

While I prefer to put my energy toward all the great stuff that happens, there are a few not so great things that must make it on to the blog.

A few months ago I reviewed the Brother MFC 5890cn (multi-function machine). My two main beefs with it were that you have to pull the paper tray all the way out to change the paper and a finicky paper feed.

From the summary: “… made it unpredictable enough that I’d be concerned it would act up at an inconvenient time.”

ohhhhh. And did it.

On my birthday, no less. Grrrrrr.

I tried three times to print on an 11″x17″ sheet and not a single pixel printed because it jammed before the paper got to the ink nozzles. Super Grrrr.

Of course it happened at a time-critical moment. That’s just how these things work. Technologies way of saying, “We are in control!! Mwah-Ha-Ha-Ha-Haaaa”

OK, so I was trying to print displays that I really wanted to put up that day. Obvious first question: why was I pushing this at the last minute?

Truthfully, I’ve been doing a pretty good job of spreading out the work for upcoming deadlines. The last minute rush thing is sooo uncomfortable. I thought I had until Friday to finish this one up but then found out at the last minute there would be a large event in the space on Thursday night–so I pushed and the printer pushed back.

Somehow… some way… the Birthday Spirits that be saw fit to give me the sweetest gift ever. Even after doing crazy and unspeakable things to that printer (which is no longer in my office or my life for that matter).

I got home drooping and dejected, bummed that I had spent the afternoon finishing up my materials and with nothing to show for it. Time I could have spent helping Mark prepare for the evening’s festivities. Big sigh.

I went upstairs, and the first thing that caught my eye was Mark’s printer that is stashed under the table and that hasn’t been turned on for months. Wha–? Could it—? Maybe—? I’d forgotten all about this printer!

The displays were printed out on 11″x17″ sheets within 15 minutes on his Epson Stylus Color 1160 (my new best friend).

As I wrote in the review: “As far as I’m concerned, office equipment should be a reliable part of the office infrastructure that fades into the background once I know how to use it. It doesn’t cause hiccups, it just does its job quietly and reliably.”

The Brother did not do this…it’s outta here!

I received a Brother Multi-Function Center (MFC) 5890cn (inkjet) to review. For those not familiar with the MFC concept, it’s one machine that has fax, scan, copy, and print capabilities. This one also has media slots for capturing photos, and is networkable by plugging it into your network router.

Price-wise, it’s a low range variety that you’ll find for around $180-200. The high yield ink cartridges run around $26-$30 for black and about $14 for each of the three color cartridges.

(Note: impatient? There is a very brief “In short…” section at the end of the post.)

My point of view
Since this is a Project Simplify review (motto: let it be easy!), my perspective is: does this machine make my life easier? While the self-employed person is often on a tight budget and appreciates low prices, we demand a lot from our equipment. We just don’t have the time to deal with mal-functions, don’t have a tech crew to hand problems off to, and need things to work now, because whatever we’re doing is probably due in about a minute. As far as I’m concerned, office equipment should be a reliable part of the office infrastructure that fades into the background once I know how to use it. It doesn’t cause hiccups, it just does its job quietly and reliably.

Now, I love the idea of the MFC since most small offices don’t have space for multiple machines. Even if I did have the space, I’d rather leave it open or bring more plants into the room than clutter it up with cords and ugly machines (sorry, my bias against office equipment is something I normally tuck away…)

Some would argue that when combining functionality like this (print/scan/fax/copy), you lose out on some quality. Just like my hybrid bicycle. It’s not as efficient as a road bike nor is it as sturdy as a mountain bike, it hovers in some no-mans land in between. However, my hybrid bike works great for my needs and I’m in my ninth year of loving it. But this review isn’t about a love affair with my bike.

Set-up
Let’s start at the beginning. Open box with MFC, instructions, sample photo paper and printer cartridges. The initial set up was pretty straight forward and mostly intuitive. I followed the directions for inserting the ink cartridges and paper and the machine was ready to go.

One thing I appreciated about the design of the machine is the power cord (it’s the little things that make the difference!!) Other office machines of mine have had monstrous power adapters that take up 2 or even 3 of the slots on the power strip (growl). This machine has a simple 2-prongs with ground plug. Yay!

Ink
A word about the ink. There are four cartridges for the machine (cyan, magenta, yellow, and black), which I like. For those not familiar, often the three colors are combined in one cartridge. This means that you have to replace the color cartridge whenever one color runs out.

Once I read the how-to in the user guide, checking “Ink volume” is really easy to do on this machine (I’d prefer the term “Ink levels” because when I first read “Ink volume, I didn’t get what it was referring to). I like checking the levels for supplies planning (never get caught without a replacement ink cartridge, because you know it’s going to go out at the most inconvenient time!)

Margins
One of the things I was really excited about when looking through the User’s Guide was the margin possibilities. Having had machines for a while that have a 1/2″ margin at the bottom and 1/4″ on the top and sides, I was stoked to read that it could print down to 1/8″ all the way around. You need the Brother driver for this (the default Mac OSX driver couldn’t do the “borderless” printing–though not sure why it’s called that because 1/8″ is still a border?!)

Paper feed
Once the driver was installed, I put one sheet of photo paper in the paper tray on top of the copy paper that I had already put in. It misfed two pieces of paper. Twice. So then I took out the copy paper, put in one piece of photo paper and that jammed.

Then I put in a small stack of photo paper, selected photo quality, hit print, and happily, no paper jam. I’m happy with the print, the colors are sharp and bright. The print time for an 11″ x 6″ photo was 3 min. 25 seconds.

So it seems that the paper feed prefers at least a small stack of paper of the same weight to feed properly. This is a major problem for me because I change paper all the time, which leads me to the paper tray….

Paper tray
Thumbs down on this one. You have to pull the tray completely out of the machine to load in paper. Other machines I’ve had gave direct access to the paper supply which allowed me to add a page or two on top, which fed through fine 98% of the time.

If the only time you open the paper tray is to put a big stack of paper in it–great. That’s not me, though. I change paper frequently. Recycled paper for basic copies, white paper for “nicer” needs or to create masters, cover stock when printing out handout covers, photo paper for images, Avery labels for a variety of uses, etc.

Usually I just leave a stack of copy paper in the tray and feed in a single sheet of whatever else is needed in the moment, which I’ve already found doesn’t bode well for this MFC’s paper feed.

But not all is lost! This baby can print up to 11″ x 17″. Very fun! They sent some 11″ x 17″ photo paper and it took a while to print (about 9.5 minutes). The colors looked fine but the image printed a little crooked on the paper.

Giving it a second chance, I printed another one of this size. It printed straight and on one sheet, though it fed 2 sheets through.

Auto paper feed
This is the tray you can use for multiple page copies, scans, or faxes. I LOVE this feature. Even my local office supply store public copier doesn’t have a multiple page feed (hello dark ages!) Trying out the auto paper feed leads into the scanning function…

Scan function
I put three pages in the auto feed, selected “Scan to image“. They fed smoothly, scanned, popped open in Preview, and they looked great.

Then I put 2 pages in the feeder, selected “Scan to file“. It took about 24 seconds for the pages to scan, but I don’t know where they went on my desktop. Guess I could read the manual, but I’d hope for a little more intuitive instruction or pop-up walk through help here.

Then I put 2 pages in, selected “Scan to OCR” and waited with baited breath (OCR software takes a page of printed text and converts it into an editable document). I’ve been wanting a scanner for digitizing documents that can be edited. Uh-oh. Error message. Apparently I haven’t installed the OCR software. Looks like it isn’t included with the software. Bummer.

So I selected “Scan to email” instead, sent it to myself, opened up the image file and printed it. Comparing it with the original, while it’s not identical, it merely looks like a print out from a different printer (which it was). Cool.

Print quality
Most of the time, print quality has been fine, although every once in a while there would be a minor alignment issue. Usually it wasn’t bad enough to warrant a reprint… except for once when it was for a proposal and I wanted it to look perfect. The alignment test came out fine so I’m not sure what the issue was.

The colors come out really differently depending on paper quality, which is normal. I did notice that the print onto matte cover stock and copy paper is a little duller than those printed on my HP, though. The prints onto photo paper, however look super.

In short…
I wanted to like this machine more. It’s affordable. It scans well and copies fine (I don’t have it hooked up for fax). It has the auto document feeder which works great.

But the inconvenient paper supply tray and temperamental paper feed for mixed papers puts a major cramp in my workflow. That with the mysterious alignment inconsistencies when printing made it unpredictable enough that I’d be concerned it would act up at an inconvenient time. These factors are reason enough for this Simplifier to not go buy one of these.

I think the machine is best suited for a relatively low-stressed home manager who doesn’t need to print critical documents on deadlines and who likely doesn’t print on a couple of different papers in a given day.

So important, I initiated the trademark process in September 2008.

Well, I’m happy to report that I just received the Certificate of Registration! It’s got a gold seal and everything.

I just did the words, since I don’t have a designed/graphic version of the name yet.

For those of you with Trademarks, reminder that you need to file a Declaration of Continued Use between the 5th and 6th year after registration. (For me this will be in 2014.)

Yay!

A little over 3 years ago I posted about eFax.com as a great solution for a great fax solution. The link went to their main site: efax.com.

Well, not so great report on that one, they dropped my free account last fall because I wasn’t letting in their spam advertisers (which is really ironic since part of their agreement is that I don’t use their service for spam faxing).

I appreciate that they’d rather have me as a paying customer, but their lowest pay plan is $17/month. I receive maybe 2 faxes a month. Not worth it.

So I thought I’d try signing up again and use an email address that I don’t think will block their spam (my gmail account). Going to efax.com, I couldn’t find their free service after all kinds of clicking around and thought maybe they’d canceled the free service. Wrong on that count.

Using the 2 services below, I sent and received faxes for free, over the internet. The delivery time was as quick as if I’d fed it through my ancient fax machine.

Receiving Faxes

Finally found it at the efax-free page. So this takes care of receiving the occasional fax.

To keep in mind:

• For a while I received faxes as a tiff file so they’d open in Preview. When I sent a test fax with my new number, it was sent in their proprietary .efx format which is opened by their efax Messenger program that you download.
• Reminder that the free number is not going to be in your area code. The paid plans will usually get you a local number.

Sending Faxes

I just tried this one called faxzero and it worked great.

A few quirky things with this service:

1. The free version of sending gets a faxzero ad on an automatically generated cover sheet. (see below) The cover sheet doesn’t lay out the recipient or send info all that gracefully. I think the ad actually looks niver than the recipient info.
2. If you attach a document (.doc or .pdf) you can’t also type in text.
3. It’s a multi-step process. After you attach your document or type in your message and click send, you then go to a message sent to your email inbox to release the fax. I assume this is for spam reduction reasons.
4. Max. 3 pages per fax, and 2 freebies per day.

For $2 (paypal) you can send a fax with no ad on the cover page and 15 pages per fax.

Totally acceptable solutions for the infrequent number of faxes that I send and receive. Thanks efax and faxzero!

Why? What’s the importance of settling in and settling down to getting everything done I want to do? Tough question in the sense that it just feels so right even though my mind doesn’t quite grasp the concept.

And that’s it in a nutshell. Get out of over-thinking, racing, over-analyzing headspace. Well, I know there is a lot more to be discovered, but being on the beginning part of the mind-taming journey, I’ll be thrilled when this chatter brain is under control. Truly.

Listening to Self–which is why the quiet is important!

Here’s a current issue: For quite some time I’ve had the inkling to work with a business coach. The inkling has been in the form of a gentle kind of voice that is sooo easy to override. It pops up periodically with a good vibe that seems to say, “It’d be really helpful! really!”

Chatter brain: “Can’t afford it.” “Wouldn’t know who to work with.” “I’ll get there eventually.” And other lame little excuses which have the very thorough and unsurprising effect of no coach.

Or, I just hop right over it with a snitty little smirk. “Was that a pebble?”

That’s about when the signs start showing up. Podcast interview I’m listening to throws in something to the effect of, “You fool, go get a coach!”

Or a client tells me about a report she did interviewing successful solopreneurs. Just about every single one had a coach.

And the little voice doesn’t go away. Once I get one, I’m sure I’ll bop myself with that V-8 exclamation, “I coulda had a coach ages ago!” But since the royal We are practicing Be Nice to Self, I’ll finish it off with a smile and a sigh.

And since I already know what’s going to happen, I can ask myself now, “Why haven’t I acted yet?!” and steal menacing, accusatory, knowing glances at my chatter brain. “You…” and “Why I outta….” and “You little rascal!”
